Costing
Upon confirmation of
your itinerary, (accommodation and travel
arrangements) your vacation will be costed,
excluding your International flights to and from
South Africa as well as any other arrangements you
have already confirmed and paid for. You will be
charged a total amount covering all costs included
in the itinerary.
Deposit
A deposit of 50% of the
total amount of your itinerary is required to
confirm the booking, payable immediately. Unless
special arrangements have been made, the time
between payment of the deposit and your arrival in
South Africa must be 90 days. Upon receipt of your
deposit reservations will be made.
Final Payment
For bookings during
high season full payment will be due 60 days prior
to your arrival. Otherwise final payment will be due
45 days prior to your arrival date. However if
bookings are made within 50 days of departure date
full payment is required when confirming your
reservation.
Method of payment
All payments must be
made in S.A. Rand by wire transfer, on line directly
into our bank account unless otherwise specified at
time of booking. SWIFT code number
We reserve
the right to cancel any bookings for which the total
amount has not been paid by due date.
We reserve the right to
cancel or re-schedule any tour departure in
accordance with operating requirements or
circumstances beyond our control.
Cancellation of
confirmed bookings must be made in writing and will
be effective on the date the cancellation is
received. The following charges will apply:

More than
60 days prior to commencement 30% of total billing
plus any non-recoverable prepaid expenses incurred.

60 days
and less prior to commencement 50% of total billing
plus any non-recoverable prepaid expenses incurred.

45 days
and less prior to commencement 100% of total billing
plus any non-recoverable prepaid expenses incurred.

During
high season 60 days and less 100% of total billing
plus any non-recoverable prepaid expenses incurred.
Amendments to itinerary
may result in additional costs payable in full 45
days before your arrival. No amendments to your
itinerary will be accepted less than 30 days before
your arrival.
Deposit payment for
your itinerary shall constitute agreement and
acceptance of our terms and conditions. No variation
of this agreement shall have any force or effect
unless reduced to writing by both parties.
Should you fail to
arrive on due date as specified, or depart prior to
completion of your itinerary, or fail to use any
pre-booked arrangements, no refund will be made.
Should any changes to the itinerary be made by the
client during their tour all expenses incurred will
be for the clients account.
Tariffs are subject to
change without prior notice until receipt of full
payment. However, once full payment is received,
prices are guaranteed with the exception of such
increases as taxes or levies imposed by the
government that would directly affect the costing of
your itinerary.
Please
arrange for payment to be made net of any bank
charges.
Kindly advise us by email of date of
transfer of the funds so that we can follow up and
confirm.
Banking details will be
sent by fax for internet/email security reasons.
Inclusion /
Exclusion
These will
be outlined in detail in your final itinerary.
Our prices do not
include telephone calls, personal laundry,
gratuities, or anyone else performing a personal
service for you, or any other item of a personal
nature.
All prices quoted
include government value added tax at the percentage
rate at time of booking. Should this rate change
your cost will be altered accordingly. Should your
South African flight and ground arrangements change
between quotation and booking and issuing of the
tickets this would have to be adjusted accordingly.
Insurance
Travel Planner SA does
not provide you with insurance cover and will not be
held liable for any loss of baggage or incidents
resulting from non insurance by the client. It is
the responsibility of all clients to be insured for
personal accidents, death, medical emergencies, loss
of baggage, travel and/or rescue expenses,
cancellation or curtailment.
The carriers, hotels
and other suppliers who supply services on your
itinerary are independent contractors, they are not
agents, employees or servants of Travel Planner SA.
Visas/Passport
Provision
of visas/passports is the responsibility of the
client.
We will
notify you of visa requirements; however it is then
the clients responsibility to ensure that they have
valid visas for all countries
covered by your itinerary should they be
necessary.
Passports must be valid for
at least 6 months and have at least 2 consecutive
blank pages.
Medical
We will notify you of what
inoculations are required and if you require a
malaria prophylactic. Please note that you are
strongly advised to consult your doctor in
connection with the necessary malaria prophylactics
that should be taken. For further information refer

Delays
Travel Planner SA does
not hold itself responsible nor can it be held
responsible for any delays prior to departure or,
during the course of executing your itinerary,
whether brought about by technical difficulties,
strikes, weather conditions or any other
circumstances whatsoever, whether foreseen or
unforeseen. It is understood that any expense
relating to these unscheduled extensions
(accommodation, meals, airfares, car hire and
telephone calls) will be for your own account.
However we will endeavour to minimise any disruption
to your itinerary caused by such delays.
Responsibility
Travel Planner SA acts
as an agent only in consultation with the client in
producing an acceptable itinerary, and on condition
that it shall not be liable for any loss, damage,
injury, accident, delay or any other irregularity
that may be occasioned by any defect in any vehicle,
or other form of conveying the client whilst on the
tour/itinerary.
